PTA Meeting Summary 24/4/14

Main Agenda: Next Year Activity Plan

  • Look outside (20 min)
    • How the world is changing?
    • How the kids are changing?

  • Look forward
    • Objective (10 min)
    • Brainstorming (20 min)
    • Activity List (10 min)
    • Action Plan (10 min)
  • Look inside (20 min)
    • How are we doing?
    • What are we good at?
    • What should be improved?
  • Others (10-20 min)
    • Recognizing sponsors

1 Look Outside (Opportunity & Threats)

1.1 World changes:

  • Theo, Peter, K.Pat and others shared experiences about social media on the internet.  Internet is changing the world i.e. effect of kids mess up is not limited to small group anymore.  It is worldwide.  Thus, the impact of action is larger than we can control.
  • E.g. NYPD set up twitter a/c to post nice police pictures but got bad PR instead as people can post bad cops picture without screening.
  • Kids now use “snapchat” where pictures can be broadcast & stay there only for 7 sec. it is now replacement of Facebook for teenagers. FB is already seen as for Older Gen.
  • Globally, people are becoming more sedentary (sitting still not active) and becoming less healthy.

1.2 Kids changes:

  • Access to too many things too quickly à less attention span
  • Grade 5-6 up ( 13 yo.) teenagers are starting to be interested in “X rated” subjects
  • Easier to be addicted to bad or good habits
  • Kids have more and more choices & convenience à parents should teach them to make wise choices / decision because we can hardly limit the exposure

2 Look Inside (Strength & Weakness)

2.1 How are we doing?

  • Good to be here
  • Good communication among PTA members
  • K.Pat and K.Peter gave advice that the association’s term for a President of 4 years is sufficient because the association have to build its own life.  However, all the members would like K.Pat to continue in the President position as we all love the way he leads.
  • If the district office approved the association paper submitted earlier K.Pat, K.Theo & K.Peter will still have to take positions in the association for another 2 years as the legality will take effect 2 years after approval not submission.
  • If by the end of the next academic year (2015) we still cannot get Mr. Kosit to sign the association paper, K.Pat said he already informed the school that the association might have to change its legal entity to be “Parents & Teachers Club” instead of Association.
  • If the PTA becomes PTC then it will expose the organization to high risk of improper fund usage by improper management.  It will pose a great challenge in drafting up the rules & regulations of the club.

2.2 What are we good at?

  • Good intention for community
  • Why join PTA?
    • want to know what activities are going on in the school
    • Want to make a difference to the school
    • leaning among ourselves, sharing personal experiences, learning from others
    • Be good example for our children (Role Model for kids) in the sense of helping others or community without thinking of return but gets the real valuable return which is happiness.
    • Want to make contributions
    • Want to make the school community good
    • Mr.Gabe, as a teacher,  wanted to strengthen his relationship with his students and their parents

(He also shared his personal experience about PTA in other school.
      - How do we build the idea that parents should be involved, if not things will not happen.  In public school all parents know they have to be involved but in private school many parents think when they pay expensive school fees everything should already be included in the package)

2.3 What should be improved?

  • New committee members need to learn more & prepare to take leadership role
  • Need new PR person/volunteers to help Theo
  • safety should be mandatory in all activities à make it a rule àPTA personnel in charge
  • communication can be better
  • among us we have to use Google group mail so everyone is on the same ground
  • external communication (PR) à communication team , PTA mom line group
  • involve more teachers in the PTA community

3 Look Forward

CIS advantage – small community, everybody knows everybody, good for younger kids, too protective for older kids

3.1 Objective

- New members recruitment + project based volunteers recruitment
- Transition to new committee
- Sorting out the legal status
- Promote family & inter family relationship within the school community
- Sustainability of the PTA
(In other International school PTA is very strong as the school is the center of social activity because of the diversity of Nationalities and expats and they all live nearby the school.  However, CIS is different as it is built on Thai community so CIS PTA is doing a great job based on our structural challenge.)

3.2 Brainstorming

Sustainability & legal

  • create tradition / recurrent event / activity e.g. every year PTA does this
  • events for all (e.g. combine welcome Party + seminar by Dr. Arj Ong
  • welcome pack for new parents / teachers

New members & volunteer

  • VDO: Why join PTA?
  • PR person / Team
  • Intro at new parents / teacher orientation (K.Aom/admin informed us of dates of Orientation for new parents,  A.Gabe will arrange during orientation of new teachers)
  • Informal / small group meeting with new parents (have layout plan for people to choose which PTA activity they want to join)

New President & committee

  • Election
  • Election committee
  • Role & responsibility, JD for president + committee
  • Transition plan

Promote family & inter family relationship within the school community

  • go to movie / cinema
  • Make the movies (& make everybody watch!)
  • Family outing, work shop (overnight, community service,  walk rally, CAR rally country side)
  • sports event
  • Gala dinner with kids performance (grand)
  • Talent show, concert
  • Garage sales
  • charity of the year event
  • Parents networking

1. Family Outing
Meeting committee feels that we should not pay extra 300/head to do this event because it is too expensive. The meeting would like to ask for reconsideration as follows:

Actual cost at Sampran offer to PTA Group/go by themselves
Child:     300 / 350
Adults:   500 / 550
(PTA get further 5% discount:  kids 285, Adults  475) Rose Garden confirm the same price for minimum of 200

Good choice of speakers the group feels that the kids got something of value from the sessions

Note about the MC duty: break the ice first before speaking; give clear Guideline to the speaker.

Minutes of December 2014 Monthly Meeting
Thursday December 18, 2014 at PTA room
Executive Committee Attendees: K.Pat, K.Lee, K.Puk, K.Kat, K.Jin
Operations Committee Attendees: Mr.Theo, Mr.Gabe, K.Meow, K.Ging, K.Sao, K.Aun, Mr.Gilbert, Ms.Maile
The meeting started at 8.15 am.

Matter of Acknowledgement – K.Pat explained about “why PTA has to grow”.

PTA consists of 2 groups of members – parents and teachers, but serves 3 groups of people – parents/ teachers/students
Types of activities run by PTA
For members – parents/teachers :- seminar,…
For students – fun/value/community :- charity, rally, fair,…
Here is the reason why PTA has to grow:-

All PTA activities require financial support, though in different levels.

PTA also has to support various projects of school/teachers/students every year. For example, PTA sponsors varsity jacket project this year. PTA sponsored Loy Krathong day last year.

As the community grows bigger, we need more money to support all activities, either hosted by PTA ourselves or by the others (school, teachers, students). And this is the important reason why PTA does fund raising every year. We raise fund so that we can support all other activities as needed or requested.

Approval of Minute – all attendees considered and unanimously approved the minutes of November 2014 meetings.

Approval of Financial Report – members unanimously approved with the awareness of K.Pia (ex-treasury)’s unbalanced holding account, mostly due to the uncompleted records.  K.Puk is working with K.Pia to reconcile the account.

Feedback of Sampran Riverside Outing

The venue was very suitable for young kids.

Good mix activities among boys and girls.

The length of time was good, not too long.

Poor communication and confirmation with the venue.

Update the Festival of Love – Friday February 6, 2015, 3.00pm onward at CIS soccer field. There will be 25 booths.  Mr.Gibert and K.Aun will prepare the budget and proposal for the next meeting for approval. On January 7, 2015, we will meet with class moms again to finalize the detail of the booths and entertainment.

For sponsorship, 40*40cm signage on the stage – 10,000 Baht.
60*60cm signage on the stage – 25,000 Baht.

Varsity Jackets – there is still no final decision on the design of the jacket.  Students don’t like 2 final designs from school.  K.Pat will talk to students to come up with new design and have them finalize it by the next monthly meeting (January 15, 2015)

Registration for new committee – K.Kat has struggled with missing paperwork and dealing with the authorities. PTA agreed to get professional help from the attorney with the expense budget of 50,000 Baht.  K.Pat will look into this.

Meeting adjourned at 10.15am.
Next meeting is scheduled on January 15, 2015.

Varsity Jackets – 79 jackets will be produced this year under the budget of 100,000Baht.  However, the manufacturer is still waiting to get all sizes from Mr.Robert (Coach K).  The manufacturing time is approximately 30-45 days.  And PTA will continue to sponsor the varsity jackets every year with approval budget upon current committees.

Registrations for new committee – the attorney reported that the dissolvement of CIS PTA which was filed 6 years ago was still an active case somewhere at Samutprakarn office.  He is finding out what exactly status the association is, either it is still an active association or already dissolved.  We will wait to hear from him to decide what the next step we will take.

Other activities

Cinema for All, aiming for MYP and up – March 20, 2015.

  • Mr.Gibert will be in charge of selecting the movie.
  • K.Lee and K.Mui will contact school to use either lobby area or mini-theater for viewing area.
  • Next meeting for this event – March 10, 2015.

Matter of Acknowledgement

It has been some concerns that there is often not a permission slips sent home when the students have fieldtrips, activities, or sport tournaments outside school premise. K.Lee will write a letter to school management regarding this concern.

Approval of Minutes – all attendees considered and unanimously approved the minutes of February 2015 meetings.

Approval of Financial Report – members unanimously approved the financial report.

Registrations for new committee – The attorney informed K.Pat that by law, PTA needs to have 7 members on the committee, but we currently have only 6.  So K.Sao agreed on joining the committee as the 7th member.

Seminar “Allergy in Kids” – Samithivej Hospital offered school to run a seminar by Dr.Pakit Vichayanont on the topic of “Allergy in Kids”. PTA thinks this is an interesting topic and would be useful for the parents, however; time is running short for the year.  So PTA decided to keep this project in consideration for next academic year.

Other issues

Career Day – will continue on this project for the next academic year.  And PTA will host it once a year and try to get more involvement from school, counselors, and students.

K.Sao suggested that PTA should put together a portfolio for all activities PTA has hosted/done over the year 2014, so that PTA can use it as a guidebook in the future.  And she will lead on this project.

Planning session for 2016 – PTA scheduled the planning session for the next academic year on May 7, 2015.

Meeting adjourned at 9.30am.
Next meeting is scheduled on April 30, 2015.

Minutes of Meeting Festival of Love feedback

    February 3, 2016 @ PTA Room

Executive Committee Attendees:          K.Pat, K.Jintana (Jin),K. Aeumporn (Mui) and K. Piyanut (Sao)

    Operations Committee Attendees:        K.Gilbert, K.Vanita (Ning), K.Chayarat (Aun), K.Punisa (Oui), K.Kawesadan (Lin), Mr.Gabe and Mr. Theo K.Wan, K. O, K.Na, K. Vi, K. A

The meeting started at 8:30 am.

    Feedback

Festival of Love has ended with smile on everyone face’s.

Children were happy with game booths.

    Event had friendly atmosphere.

Overall it is better than last year.

Income-Expense information is summary on last page.

However, there are some points discussed as follows:

    Problems

Solving - Things to improve next year

Some booth hired undisciplined organizer. They took table and chairs from other booth.

Announce clearly that 1 table 2 chairs per booth.

Number on each booth wasn’t clear enough. (We put sign map on each entrance but they didn’t look.)

    People couldn’t find Coupon Booth.

PTA Booth next to the Stage. Coupon Booth should have 2 locations.

Bigger Sign with different colour for game and food. Give out little brochure if possible or at least equal to number of booths.

    Too many booth.

35 Booths are the right number. More game booth than Food booth.

    Stage platform too low

    Should be made higher.

Sound system is very poor. Couldn’t hear MC on stage.

Staffs at some booth cheating by keeping coupon then used it to buy food.

Emphasized that all coupons have to return to us so that we can keep track how much each booth earns.

Safety regarding cooking the food such as noodles

Do the safety check with class mom before event.

Most of teachers and T.A didn’t know much about event.

    Do more PR for teachers.

    More suggestions

Khun Lin proposed to pre-sale raffles to staffs, teachers, T.A, maid, guards.

Raffle ticket should be printed price of 50 Bahts on the ticket.

PTA should PR more so that parents will know what we are doing. Khun Mui suggested we should do something for community and it has to be clear that it comes from PTA.

Khun Lin proposed next year we should help sponsor parent booth at least 10,000B per Booth. We might find some parents didn’t want to do it more and more. Since all parents who come and help, they have to sacrifice their time and energy. They shouldn’t have to pay extra money. This issue still debating.

Khun O suggested that having running track in the soccer field. If PTA can make it happen, members would appreciate as they can see their money come back to their children.

Khun Jin informed about Sport event that school was hosting and did it poorly. However, Khun Pat informed that this school doesn’t concentrate much on sports.

Next meeting - talk more about sports and guest speaker.

Dr. James came to discuss about “Discrimination and Bullying”.

People know bullying is bad. But what does bullying mean and how we can prevent it.   How can we make school safer not only physical safety but safe in all aspect of students’ life?

Dr. James described bullying from human rights aspect as anything that makes somebody else feel uncomfortable.   After brain storm and sharing some experiences among members, Khun Pat concluded that if we want to solve this problem. We have to do in a whole community with help of PTA, School and parents. In terms of practice, each party should plan things to do in academic year. For example, in August and September, school might print out booklet to educate parents. Then, follow up by PTA and students to get people involve and give awareness about this issue.

In order to proceed, PTA has sub-committee regarding this issue. Mr. Theo will co-ordinate with Dr. James. Members of sub-committee are Khun Oui, Khun Lin, Mr. Gilbert and Mr. Peter. More members are welcomed.
